Terms and Conditions

This page provides the terms of sale and purchase for individual and group registrations for a meeting or congress (“Tickets”), offered on the Mirrors of Medicine™ Event registration website – https://events.mirrorsmed.org (“Site”) by e-HIMS bvba ("e-HIMS", “our”, "we" or "us").

Purchases

If you wish to purchase any Tickets made available through the Site ("Purchase"), you may be asked to supply certain information relevant to your Purchase including, without limitation, your credit card number, the expiration date of your credit card, your billing address, and your shipping information.

You represent and warrant that: (a) you have the legal right to use any credit card(s) or other payment method(s) in connection with any Purchase; and that (b) the information you supply to us is true, correct and complete.

By submitting such information, you grant us the right to provide the information to third parties for purposes of facilitating the completion of Purchases.

We reserve the right to refuse or cancel your order at any time for certain reasons including but not limited to: Ticket or Site availability, errors in the description or price of the Ticket or Site, error in your order or other reasons.

We reserve the right to refuse or cancel your order if fraud or an unauthorised or illegal transaction is suspected.

Pricing

When you purchase a Ticket, the price will be made clear during the order process. You agree to pay the price that is stated at the time of your order, as well as any applicable taxes. 

Discount eligibility is determined at the time of the order. Discounts cannot be applied retroactively.

All prices are in EUR, unless otherwise stated.

Processing and payment

When you make a Purchase, we will charge or debit your payment method at the time of purchase.

We accept MasterCard or Visa credit cards and Maestro (BE). We reserve the right to reject any order or purchase at any time. If your initial payment authorisation is later revoked, your subscription, Ticket or access will be terminated. Contact us if you believe your access was terminated in error.

All charges are nonrefundable.

Making changes to completed registrations

For changes made to the Ticket ordered or its related invoice details, a handling fee of 30 EUR is charged for each change (name, address).  Change requests are only processed when they are confirmed by email or fax.

Changes related to your VAT number are not possible after payment of registration. If a VAT number has to be changed, a credit note must be issued (minus 30 EUR administrative charge) and the registration has to be made again.

Availability, Errors and Inaccuracies

We are constantly updating our offerings of Tickets on the Site. The Tickets available on our Site may be mispriced, described inaccurately, or unavailable, and we may experience delays in updating information on the Site and in our advertising on other web sites.

We cannot and do not guarantee the accuracy or completeness of any information, including prices, Ticket images, specifications and availability. We reserve the right to change or update information and to correct errors, inaccuracies, or omissions at any time without prior notice.

Refund and cancellation policy

You have the right to withdraw from your Purchase within 14 days following you Purchase. After that period a cancellation or refund is no longer accepted. It’s also not possible to cancel or request a refund for a Purchase when the meeting or congress related to you Purchase takes place within the 14 days’ withdrawal period.  

We reserve the right to issue refunds or credits at our sole discretion. If we issue a refund or credit, we are under no obligation to issue the same or similar refund in the future.

If you believe someone else has used your account or you are being charged for a Ticket you have not ordered, please contact us at support@mirrorsmed.org.

Changes to Content or Access

We reserve the right to make changes to our Tickets at any time. If we temporarily reduce or eliminate the charge for content or access that you are currently paying for under different terms, you will not receive a refund.

If any or all of our Tickets are temporarily unavailable, you will not receive a refund. 

Cancellations by Us

We reserve the right to suspend or terminate your subscription or Ticket for any reason, with or without notice and without further obligation. You will not be entitled to a refund under these circumstances. If any or all of our Tickets are temporarily unavailable, you will not receive a refund.

Third Parties

If you have purchased your Ticket through a third party, these Terms of Sale may not apply to you. We are not liable to you for any claims related to purchases made through third parties. Please contact the third party directly.

Events organised by e-HIMS bvba

This section provides the terms of Sales for all Purchases related to Events (symposium, meeting, workshop or congress) organised by e-HIMS, hereinafter referred to as “the Congress Organisers”.

Visa requirement-Invitation letters

It is the sole responsibility of the participant or the group leader to take care of visa requirements. Participants or group leaders who require an entry visa must allow sufficient time for the visa application procedure. Participants or group leaders should contact the nearest embassy or consulate (of the country where the meeting will be held) to determine the appropriate timing of the visa applications.

Participant or group member registration details might be shared with the immigration authorities to assist in the immigration process. However, the “Congress Organisers” will not directly contact embassies and consulates on behalf of visa applicants.

To receive an invitation letter for an Event, participants must first register for the meeting and pay the registration fee in full. They can then contact the Congress Organisers to ask for the invitation letter.

The invitation letter for an Event does not financially obligate the Congress Organisers in any way. All expenses incurred in relation to the Event and the visas are the sole responsibility of the participant or group leader.

Insurance and liability

The Congress Organisers cannot be held responsible for any direct or indirect loss, injury or damage to any property, whatever the cause may be. Normal caution should be exercised by all participants.

The Congress Organisers recommend to effect adequate personal, health and travel insurances.

Cancellation of an Event

In the event that the Event cannot be held or is postponed due to events beyond the reasonable control of the Congress Organisers or due to events which are not attributable to unlawful intent or gross negligence of the Congress Organisers, the Congress Organisers cannot be held liable by participants for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, costs for additional orders, financial losses, etc.

Under these circumstances, the Congress Organisers reserve all rights to either retain the entire registration fee and to use it for a future Event, or to reimburse the participant the registration fee minus costs already incurred for the organisation of the Event which could not be recovered from third parties.

Force majeure

Neither party shall be liable or shall be in default of its obligations if such default is the result of war or national emergency, acts of terrorism and its consequences, strike, lock-out, fire, explosion, flood riots, civil disturbance, industrial disputes, natural and nuclear disaster, epidemics, health’s risks and pandemics or other cause beyond the reasonable control of the party affected.

The Congress Organisers reserve the right to defer or to cancel the Event (without liability to the participant) in the event of a Force majeure.
